Criteria for being allocated a stand at Aarhus City Welcome
It is the purpose of Aarhus City Welcome to make relevant information available for international professionals, accompanying partners, family, and students that will help them:
- set up life in Aarhus and navigate Danish society
- become part of lasting communities
At Aarhus City Welcome the target group can find relevant information within the following categories:
- Public authorities
- Networking and communities
- Job search and work-life
- Learning Danish
- Volunteering
- Culture, media and creativity
- Sports and leisure
- Children
The City of Aarhus wishes to ensure that Aarhus City Welcome offers exhibitors in each category and in correspondence with the space available at Dokk1.
We therefore reserve the right to either offer a stand or decline the application for a stand based on an assessment of the relevance of an exhibitor vis-a-vis the target group of Aarhus City Welcome and the purpose of Aarhus City Welcome.
We are not able to provide a stand for:
- Commercial businesses or other private companies such as banks, relocators, insurance companies, and others providing a commercial service.
- Political organisations/communities and religious communities.
Important information
Application for a stand at the Information Bazaar at Aarhus City Welcome 2024 is open until June 1st.
Your organisation, association or authority will hear from us after this date. We will contact you using the email you provided in the application and either confirm you as an exhibitor at ACW2024 or, unfortunately, decline your application should it not correspond with the criteria above.
Confirmation is binding
If your organisation, association or authority has been confirmed as an exhibitor at ACW2024, your participation is binding.
Potential extension of the deadline
If an extension of the deadline for applications is needed due to the number of stands available, a new deadline for applications will be announced on this page.
It will also be announced whether it is only within certain categories (mentioned above) that stands are still available.
- LOGO: If we have confirmed you as an exhibitor at Aarhus City Welcome, we will ask you to send us your logo - in JPG or PNG format, the highest resolution possible. We will present your logo on the list of organisations to meet at the Information Bazaar on the ACW2024 website alongside the description of your organisation and the link to your (English) website which you provided in your application.
- LUNCH: You will also be asked about the number of people you will be at your stand (maximum 4) as we will use this number to provide lunch.
Time of the event:
- Doors will open to guests at Aarhus City Welcome 2024 at 9.45. The event begins in Store sal at 10.00. The event finishes at 15.00.
Your stand:
- You can be up to 4 representatives of your organisation, association or authority at your stand. If we are able to confirm you as an exhibitor at Aarhus City Welcome we will ask you to provide us with the number of people at your stand. We can only secure lunch for the number of people we know are present.
- You are welcome to set up your stand from 9.15. We'll be ready to welcome you in the area next to the Information Desk at level 1 (in front of the elevators) and point you to your stand.
- The stand is approximately 2,5 x 2,5 meters. A tall café table will be at your disposal. If two organisations share a stand, you will have two tables. The name of your organisation, association, or authority will be on the table.
- It’s not possible to hang something from the ceiling or to put something on walls or windows.
- On your stand, there will be stickers to use as name tags.
- We encourage you to wear clothes and bring roll-ups or similar that catch the eye and let people know what organisation, association, or authority you are representing.
- Please do always have at least one representative from your organisation, association or authority present at your stand.
Material at your stand:
- Please don't hesitate to bring information material. If you do, your material should be in English.
Catering (lunch):
- Lunch for exhibitors is available in room M1 on level 1. There will be a sign on the door.
- Catering for events at Dokk1 is always vegetarian.
- If your participation is confirmed you're asked to inform us of the number of people you'll be at your stand (maximum of 4). We will use this number to provide lunch accordingly.
- Besides lunch for exhibitors, you're more than welcome to help yourself with the coffee and tea provided to everyone attending Aarhus City Welcome 2024. If you need anything else, you'll find the café at Dokk1 on level 1 (self-paid).
- There will be water bottles on your stand according to the number of representatives at your stand (max. 4).
Power
- There will be a power socket at all stands. Please bring your own power cord.
Wi-Fi
- Information will be provided shortly.
Parking
- The nearest parking is under Dokk1. It is paid parking. Please find more information about parking under Dokk1 including prices here (in Danish).
Photo and video:
- A film crew/photographers will take photos and record videos to use as promotional material for next year’s Aarhus City Welcome and possibly other events. The film crew may ask a number of organisations present to please share their thoughts on ACW2024 for next year’s promotion videos. If you do not want to be in a photo /video, please let the photographer know.
